5 Zapier Automations Every Small Business Should Have Running

Every small business is run by people doing jobs that could — and should — be handled by software. The problem is that most automation guides assume you have a developer on staff. You don't need one. Zapier connects thousands of apps without any coding, and a handful of well-placed automations can save you and your team hours every single week. Here are the five to set up first.

1. Lead Capture → CRM

The setup: When a new lead fills out your website form (Gravity Forms, Typeform, Jotform, etc.), Zapier automatically creates a contact in your CRM (HubSpot, Pipedrive, ActiveCampaign, etc.) and sends you a Slack or email notification.

Why it matters: Manually copying contact details from forms into your CRM is error-prone and slow. Leads who don't hear back within an hour convert at a fraction of the rate of those who do. This automation closes that gap completely.

Setup time: ~20 minutes. Net time saved per month: several hours, plus zero dropped leads.

2. Form Submission → Email Notification

The setup: Any form on your site — contact, application, quote request, feedback — triggers a formatted email to the right person or team. Include all form fields in the email body so the recipient has everything they need to respond.

Why it matters: No more checking form dashboards or wading through notification emails that lack context. The right person gets the right information immediately.

Setup time: ~15 minutes. Works with any form tool that Zapier supports.

3. Calendar Event → Slack Reminder

The setup: When a new event is added to Google Calendar (or Outlook), Zapier posts a reminder to a Slack channel a set time before it starts — 30 or 60 minutes is typical.

Why it matters: Remote teams miss meetings because everyone is heads-down in different time zones. This keeps the whole team aligned without manual standups or status checks.

Setup time: ~15 minutes. You can customize the message to include the meeting link, agenda, or host name.

4. Invoice Created → Spreadsheet Log

The setup: Every time you create an invoice in QuickBooks, FreshBooks, or Wave, Zapier adds a row to a Google Sheet with the client name, invoice amount, date, and status.

Why it matters: You get a live revenue tracker without any manual data entry. Filter by month, client, or status at any time. Useful for forecasting, tax prep, and cash-flow visibility.

Setup time: ~20 minutes. Add conditional logic to flag overdue invoices automatically.

5. Social Mention → Inbox Alert

The setup: Connect Brand24, Mention.com, or Google Alerts to Gmail or Slack so every mention of your brand, product, or key competitors comes straight to your inbox or channel.

Why it matters: Most brand mentions go unnoticed because nobody is actively monitoring. Responding to a mention within an hour — whether it's a complaint, a question, or a compliment — builds trust and turns passive observers into buyers.

Setup time: ~15 minutes. Add filters to only surface high-priority mentions and ignore noise.

These five automations cover the highest-impact, lowest-effort opportunities for most small businesses. Each one takes less than 30 minutes to set up and pays for itself in time saved within the first week. Start with the one that addresses your biggest current pain point, then work down the list.
